Cancellation Policy
WINGS FOR ME – BOOKING & CANCELLATION POLICY 1. Booking Requirements • Advance Notice: Appointments must be booked at least 24 hours in advance. Last-minute bookings (within 24 hours) are not permitted. • Methods: Book online via our portal, email (info@wingsforme.com), or phone (704-323-6692). • Confirmation: Sessions are confirmed via email/SMS upon booking. You must confirm your appointment 48 hours prior to the session via the link in your confirmation email. Unconfirmed appointments are automatically canceled. 2. Cancellation & Rescheduling • ≥24 Hours’ Notice: Cancel or reschedule at no cost using our online portal, email, or phone. • <24 Hours’ Notice: o Late Cancellation: 50% of the session fee charged to your card on file. o Rescheduling: Allowed once per session if done ≥12 hours before the original appointment. • No-Show: 100% session fee charged if you miss your appointment without prior notice. • Emergencies: Fees waived for documented emergencies (e.g., hospitalization, severe illness). Submit proof (e.g., doctor’s note) within 7 days via email. 3. Payment Terms • Card on File: A valid credit/debit card is required to book. We accept Visa, Mastercard, American Express, PayPal, and HSA/FSA cards. • Automatic Charges: Fees for late cancellations/no-shows are billed immediately to your card. • Disputes: Disputed charges may result in account suspension. Contact us directly to resolve billing issues. • Refunds: No refunds for missed sessions, but rescheduling is encouraged. 4. Late Arrivals • Sessions begin and end at the scheduled time. If you arrive late, your session will still conclude at the original end time. 5. Telehealth Sessions • Rescheduling: Switch in-person appointments to telehealth with ≥12 hours’ notice (no fee). • Technical Issues: If connectivity problems occur, contact us immediately. Sessions interrupted for >10 minutes will be rescheduled at no cost. 6. Compliance & Accountability • Repeated Cancellations: Clients with 3+ late cancellations/no-shows within 6 months may be discharged and referred to other providers. • Therapist Discretion: We reserve the right to adjust session frequency or terminate services for non-compliance. 7. Communication • Reminders: Automated SMS/email reminders are sent 72 and 24 hours before appointments. • Updates: Notify us of address, insurance, or contact changes via email within 48 hours.
